This is a permanent full-time position working 35 hours per week. 


Preferred Background:

The successful candidate must possess post-secondary education in office administration with at least one to two (1-2) years progressive office/administrative experience. Proficiency in Microsoft Office including Word, Excel and PowerPoint is required.  Demonstrated organizational and time management skills, and excellent written and verbal communication skills are essential. The candidate must have excellent customer service skills, the ability to work effectively as part of a team, and must be detail-oriented.  Experience in a public sector environment is preferred.  Familiarity with Siebel, SharePoint, COMPASS, SAP and Eclipse is an asset. Experience with social media (such as Facebook and Twitter) in a work capacity is an asset. An equivalent combination of education and experience will be considered.


Working Conditions:

The successful candidate will be made an offer of employment on condition that the Regional Municipality of Halton receives a current (obtained within the past six (6) months), original and acceptable Criminal Records Check, including Vulnerable Sector Screening by the first day of employment. Travel will be required, incumbent must provide their own transportation. The incumbent will be required to provide a copy of their driver’s license by their first day of employment.



  • Demonstrates initiative in the provision of administrative support.
  • Prepares materials and registration for conferences, workshops and meetings, and collects registrations for workshops as required.
  • Acts as a central communications resource for the team by receiving, distributing and prioritizing information received through various sources; web, Siebel, internal/external mail, email and telephone, in keeping with corporate customer services guidelines.
  • Arranges and schedules meetings, books rooms, notifies attendees, prepares agendas, and takes and distributes minutes at the direction of the program manager.  Sets up webinars, laptop, LCD, conference phone and other technology as required.
  • Reconciles manual and missing timesheets (COMPASS), monitoring timesheet submissions and approvals.
  • Provides support in posting web content, and using Social Media (i.e. Facebook and Twitter).
  • Ensures accurate and timely data entry into various systems including Siebel, Eclipse and inventory tracking sheets (Excel).
  • Sets up, and maintains program files, program forms, and maintains program resources, in keeping with divisional and corporate standards.
  • Prepares correspondence, reports, agreements and other program related documents for both teams.
  • Functions as an integral part of the Health Department Admin team, by providing support and back- up as required.
  • Completes financial transactions, and reconciles invoices.
  • Performs other duties, as assigned.
