Public Works Information Management Specialist

This is a permanent full-time position working 35 hours per week.


Reporting to the Senior Project Advisor, this role provides document and record management leadership and administrative support of databases and/or management system software for the Public Works integrated (quality, environmental and occupational health and safety) management system and Drinking Water Quality Management System (DWQMS). 


Preferred Background:

The successful candidate must possess a diploma in business administration, information technology, library science or a related field, along with a minimum of two (2) years’ experience in documentation management or administration of management systems. Experience in a municipal setting or familiarity with Public Works (PW) services is preferred. Knowledge or experience in one or more management systems, such as the Drinking Water Quality Management Standard or other environmental (ISO 14001), and occupational health and safety standards (OHSAS 18001, CSA Z1000) is required. The candidate must demonstrate an ability to analyze and document business processes and requirements as well as recommend appropriate changes/improvements.  Advanced proficiency in Microsoft Office is required along with skills in SharePoint, databases and management system software.  Excellent organization, oral and written communication, problem resolution, and interpersonal skills are required to excel in a team based work environment.  Knowledge of the legislative framework governing Public Works services and operations along with their related documentation requirements is an asset. An equivalent combination of education and experience will be considered.



·         Develop, implement and support PW departmental information management standards and processes in line with corporate standards and best practices.

·         Assume ownership and maintenance of documented procedures and processes related to PW management systems (e.g. DWQMS), including PW system administrator duties (e.g. user profiles).

·         Develop business requirements as part of a team for PW information management system software and tools, including establishing specifications and review criteria, proposal reviews and software trials.

·         Provide technical, administrative and analytical expertise to support PW information management requirements.

·         Provide quality assurance and control of information within PW management system software.

·         Monitor, audit and report on information management practices and compliance.

·  Leads in the development of processes for quality control related to documented information.

·         Monitor and control status of documents for review and records management

·   Power user for computerized tracking system for monitoring review, approvals, distribution of documented information, including procedures, work instructions, forms, reports and other types of documented information. 

·         Deliver training and provide support to PW employees on using document databases and management system software, including the rollout of new modules or system version upgrades across PW.

·         Provides support for new initiatives related to documented information.

·         Conduct document searches and generate reports.

·         Support the management of PW employee training records in Success Factors Learning Management System. 

·         Performs other duties as required.
