This is a permanent full-time position working 35 hours per week.

The Water & Wastewater System Services Division with Public Works delivers essential services to the Halton community with responsibility for planning, operating and maintaining the Region’s linear water distribution and wastewater collection systems and appurtenances. Infrastructure includes the pipes in the ground as well as wastewater pumping stations, water booster stations, water meters, reservoirs and elevated tanks throughout the Region. 

 

Purpose:

This position provides administrative support to the Director as well as the other areas in the Water & Wastewater System Services Division. 

 

Preferred Background: 

The successful candidate must have post-secondary education in business/office administration program with a minimum of five (5) years of progressive administrative experience. Experience with document management, monitoring budgets and expenses and calendar management are required. Advanced skills in applications of Microsoft Office tools, including Word, Excel, and PowerPoint as well as knowledge of SAP is required. To be successful in this role, the incumbent must be organized, customer focused with the ability to prioritize and manage competing tasks effectively and with professionalism. In addition, the incumbent must be a self-starter with the ability to work independently and with minimal direction.  Strong organizational skills and adaptability are critical to success in this role.  Experience in a public works or public sector environment would be an asset. An equivalent combination of education and experience will be considered. 

 

Duties:

·         Coordinate activities for the Director and Divisional Management team including preparation of Committee and Council reports, memoranda, emails, and collecting, compiling and consolidating information on behalf of the Director’s office as required.

·         Assist with monitoring of the divisional budget including the processing of invoices for daily expenditures and special projects and reconciles spending as required.

·         Respond to questions/concerns related to the division in a professional and timely manner to ensure each issue is dealt with or referred to the appropriate office/field personnel.

·         Coordinate and attend divisional working groups, meetings, workshops and special activities. Prepare agendas and meeting notes and record minutes to be distributed in an accurate and timely manner.

·         Prepare and review a broad range of correspondence materials for the Division including the letters, memorandums and emails.

·         Provide administrative support and back-up to the other divisions within Public Works including the office of the Commissioner as required.

·         Ensure the efficient operation of the Director’s calendar by organizing and scheduling appointments.

·         Provide exceptional customer service to all internal and external customers.

·         Manage confidential and administrative files for the Director’s office.

·         Perform other duties as assigned.
