This is a temporary full-time position working 35 hours per week, up to eleven (11) months.



Reporting to the Manager, Direct Child Care Services, this position provides administrative support to front line staff, Co-ordinators,Supervisors and Managers in the Children's Services Division, to enable staff to provide services to children, families and programs in the community


Preferred Background:

The successful candidate must possess undergraduate degree in office administration or equivalent along with at least two (2) years of progressive administrative experience. Administrative experience in Social Services and/or Public Health is preferred. The candidate must possess advanced computer skills with excellent knowledge of Microsoft Office including Access, Excel, Word, PowerPoint, Publisher and Outlook.  Strong communication skills (both oral and written) are required, along with event/meeting planning, interpersonal skills, and customer service orientation. Excellent administrative and organizational skills and the ability to prioritize, manage multiple tasks and respond to deadlines is essential.  Experience in minute taking is also essential. Experience using computer databases (e.g. SPSS, Ontario Child Care Management System (OCCMS), Timesheet, SharePoint, Select Survey, Eclipse  etc.) is preferred. Knowledge of the Halton community is an asset. An equivalent combination of education and experience will be considered.

Working Conditions:

The successful candidate will be made an offer of employment on condition that the Regional Municipality of Halton receives a current (obtained in the past six (6) months), original and acceptable Criminal Record Check, including a Vulnerable Sector Screen by the first day of employment. Travel will be required between locations within Halton Region. Incumbent must supply own transportation. The successful candidate will be made an offer of employment on condition that the Regional Municipality of Halton receives a valid Ontario driver’s license.



·   Demonstrate initiative in the provision of program support to the Children’s Services Division.

·   Prepare reports, memos, agreements, contracts, minutes and other related documents and data.

·   Act as a central communications resource for teams by receiving, distributing and processing information received through Web, Seibel, internal/external, mail, email, telephone in keeping with corporate customer service guidelines.

·   Arrange and schedule meetings, book rooms, notifies attendees, prepares agendas and distribute minutes at the direction of the program manager.

·   Assist programs with webinar, laptop, LCD, conference phones and other technology.

·   Enter information accurately and efficiently into databases.

·   Demonstrate creativity in the preparation of flyers, presentations, brochures etc.

·   Set up and maintain various records according to the Corporate and Divisional Record Retention schedules.

·   Provide excellent customer service through telephone calls relating to the program areas and direct them accordingly in a tactful, courteous and professional manner while maintaining confidentiality.

·   Edit documents and ensure a high standard of quality on all written materials and documentation.

·   Responsible for the purchasing of supplies for the program.

·   Process invoices for payment, reconciles invoices and create spreadsheets to track/monitor payments.

·   Use technology and social media to develop, create and revise creative communication tools and visual representations.

·   Function as an integral part of the team by providing support and back up as required.

·   Perform other duties as assigned.
